
Sales & Office Administrator
Start Date: ASAP
This is a unique opportunity to join Magal-Senstar Inc.'s at the US headquarters office in Herndon, Virginia. The ideal candidate will be someone with previous Office Management experience who has recent involvement with Inside Sales operations.
DEFINITION:
Reporting to the President of MSi, the Sales & Office Administrator will assist in administering all duties and projects that come under the responsibility of a sales department and management of a small office.
RESPONSIBILITIES
Sales and Marketing Support
- Assist sales with database maintenance, including input of account/contract
information
- Deal with queries and complaints, escalating as appropriate
- Coordinate order processing thru the company’s Canadian operations
- Generate and verify sales forecast/activity reports
- Prepare and review sales correspondence as needed
- Assist sales team in preparing and responding to RFP’s
- Assist Sales with update and maintenance of GSA schedules
- Administer sales and manufacturer rep commissions
- Track rep agreements for expiration and maintain master list
- Track rep monthly reports and provide to sales
- Generate and distribute month end sales reports from ERP (Expandable) system
- Review expenses versus budget amounts on a monthly basis
- Coordination/interaction/problem solving with the Canadian operation
- Assist the Canadian marketing department with customer correspondence,
including trade show lists and leads
- Work with the Canadian marketing department to co-ordinate requests for demo
equipment and location
Office Administration Support
- Ensure that the office runs efficiently and maintains an orderly appearance
- Answer telephone and direct/handle all incoming calls
- Monitor the general email and voice mail account and distributing to appropriate
staff
- Regularly reviews existing practices to improve operations
- Involved in the selection of suppliers and contracts for office equipment/services
- Participate in the implementation of new office systems
- Organize all office maintenance and repairs
- Create/maintain office filing systems
- Implementation / ongoing maintenance of all office policies / procedures in
conjunction with the Canadian operation
- Provide administrative support to executive team on an as needed basis
- Responsible for the maintenance and ordering of all office supplies within budget
guidelines provided
- Review of expense reports prior to submission to Canadian operations for
processing
- Coordination of cash receipts/deposits with the Canadian finance department
QUALIFICATIONS/EXPERIENCE
- BA/BS strongly preferred
- Prior administrative support experience in a sales/admin environment desired
- Proficiency in Microsoft Office applications (Excel, Word, PowerPoint, Outlook)
- CRM experience desired; Maximizer preferred
- A team player, resourceful, “multi-tasker, and enjoys working on their own or as part of a group”
- Good interpersonal, communication and organizational skills
- Problem-solving skills and high level of confidentiality
- Excellent written and oral communication skills are required
- High aptitude and strong negotiation skills
ASSETS
- Prior experience in the physical security industry
- Experience in the setting up of a new office environment
- Executive office experience in a technical environment
